We have a column on robovet labelled repeat prescriptions where receptionist adds client when they phone in. Vets write on clients account oking meds for 3-6 month repeats at time of consult.
Staff taking request fills in prescription request book - name, address, pet name, drug name and strength, quantity requested, dose being given (always checked in case owner not following instructions). Before request put in book visual check on client notes that not due for medication check - every 3_6 months dependant on condition - vet usually writes in clinical when due for check up. We also try and highlight if off licence consent needed.

Vet checks repeats book and initials in column to show authorised. Vet or rvn puts meds on record and initials other column. Script put up and double initialled. Try to note on record and drug label if will be due for check up before next script.

Hope that helps :)
